1. Overview
Heat Board (the "app") is an iOS app for iPhone and iPad used to coordinate a Cub Scout pack's pinewood derby, as well as church, school and troop derbies run in the same format. It covers check-in and inspection, lane-balanced heat charts, live heats, standings, run-offs, design award voting, certificates, results sheets and a race-day checklist.
The app has no account and no sign-in. It contains no analytics, no advertising, no tracking and no third-party SDKs, and it does not talk to any server run by us or anyone else. This policy explains what that means in practice.
2. Data we collect
None. The developer of Heat Board collects no data at all. We do not receive, see, store, sell or share any information about you, your derby, your racers or how you use the app. This matches the "Data Not Collected" label on the App Store.

3. Data stored on your device
Everything you enter is saved only on your device, in the app's private storage:
- Racer names, car numbers and dens
- Car weights, inspection results and inspection notes
- Car photos you add at check-in
- Heat charts, heat times and finish orders
- Design award votes
- Your race-day checklist
- Archived derbies in the hall of fame
Preferences such as sound effects, haptics, gate lights and keep screen awake are kept in the app's local settings on the device.
This data is removed when you delete the app. If you back up your device with iCloud Backup or to a computer, the app's data may be included in that backup, which Apple or your computer handles under your control. We never have access to it.
4. Permissions
Camera
Used only when you choose to take a car photo or photograph a paper ballot.
Photo library
Used only to pick a car photo or ballot photo that you choose through the system photo picker. The app also adds a certificate image to Photos, but only when you tap "Save image to Photos". Photos stay on your device.
Paper ballot reading
Ballot photos are read on the device using Apple's Vision text recognition, which runs on-device. Ballot photos are not stored and are not sent anywhere.
Notifications
Optional local reminders that you turn on for each checklist phase. Permission is requested only when you turn one on. Reminders are scheduled on the device; there is no push server.
You can change any of these permissions at any time in iOS Settings, under Heat Board.
5. Sharing
Heat Board can create PDF certificates and a results sheet. These are only sent where you send them, using the iOS share sheet (for example AirDrop, Messages, Mail, Files or a printer). The app never shares anything on its own.
6. Children
Heat Board is meant for adult volunteers who run a derby. It is not designed for children to use on their own.
The app may contain first names or initials of young racers that a coordinator enters. That information never leaves the device, and we never receive it. We recommend entering first names and last initials only (for example "Sam R.").
Because the app collects nothing and sends nothing, it is designed to be friendly to children's privacy rules such as COPPA and GDPR. This is a description of how the app works, not legal advice; your pack or organization should follow its own policies for handling youth information.
7. Data retention and deletion
Data stays on your device for as long as you keep it there. To remove it:
- Delete the app. This removes all derby data, photos and preferences stored by the app.
- Use "Reload the sample derby" in the app to replace your current derby data with the built-in 24-car sample derby.
Copies in your own device backups follow the retention settings of those backups.
8. Your rights
Privacy laws such as the GDPR (EU and UK) and the CCPA (California) give you rights to access, correct, delete or port your personal data, and to opt out of its sale. Since we hold no data about you, there is nothing on our side to access, correct, delete or sell. You have full control over the data on your device and can edit or delete it in the app at any time.
9. Changes to this policy
If this policy changes, we will post the updated version on this page and update the effective date above. If a future version of the app ever changed how data is handled, we would update this policy and the App Store privacy label before that version is released.
